Your AMS Says One Thing, the Carrier Paid Another: Working the Gap

An agency management report and a carrier statement are different pictures taken at different times. Reconcile them beside each other. Do not wait for a sync to make them identical.

The argument usually starts with a report someone trusts. The carrier deposit does not match it. Both documents can be "right" and still describe different moments.

Two clocks, two totals

Madgeek says EZLynx reports fail to match carrier data because the report and the carrier statement are different snapshots, taken at different times. You ran the commission report on the 8th. The carrier built the statement on the 11th. A cancellation, a rewrite, or an additional premium landed in one of those windows and not the other. The report is old relative to the statement, or the statement is old relative to a report you ran again on the 20th.

Write the as-of date on both. "EZLynx commission report, pulled 8 March" and "Carrier statement, generated 11 March" can disagree by every policy that changed in those three days. That list is the gap. It is not a reason to pick the larger number.

Recorded is not reconciled

Kite Technology's transaction reports track agency commission for each policy so the agency can see whether commission arrived as expected. That page is a tracking report. Their direct-bill reconciliation notes are the page that separates recording from reconciling. Record commissions means the system holds a figure someone posted. Reconcile commissions means that figure has been agreed to the carrier statement and, for cash, to the deposit.

A commission-tracking report can be complete and still be a poor answer to "what did the carrier pay." If your close uses the report as the statement, you pay the recorded amount and find the difference when the deposit is short. The monthly close checks the deposit against the statement.

The same direct-bill notes separate cash from accrual. Accrual asks what the agency has earned and recorded. Cash asks what arrived. A carrier statement is closer to cash. It is the carrier's list of what it is paying now. An accrual report that includes commission you expect, but the carrier has not yet paid, will be higher than the statement on purpose. That difference is not a missing check until the terms say the money should already have been sent.

Use the two questions out loud.

  • What did we record as earned?
  • What did the carrier pay, on this statement, into this deposit?

If you only answer the first, you are not reconciling.

What the vendors say about each other's systems

HawkSoft published an agency story that compares EZLynx with HawkSoft. The story, which is HawkSoft's own marketing, describes EZLynx as weaker on commercial lines and on agency bill. Read it as HawkSoft's account of why an agency moved, not as an independent audit. It is still useful as a warning about where a report is thin. If commercial lines and agency-bill items are the awkward cases in the system you run, those are the lines to check by hand against the statement. Do not assume the personal-lines direct-bill report covers them.

Applied Systems argues for reconciliation that lives inside its own product rather than beside it. That is their framing of Applied Recon. It does not settle the question for an agency that already runs EZLynx, Epic, or HawkSoft and is not replacing it this year.

Work beside the system you have

The gap is worked with the two files you can actually hold. Export the book, or the commission report, from the agency management system. Upload the carrier statement. Reconcile those two artifacts. The export is a CSV the agency already knows how to produce. That is the connection CommissionScope ships. Direct sync with an agency management system, including EZLynx, Applied Epic, and HawkSoft, is custom work or later work. This article does not describe a sync, and the product does not perform one.

What the side-by-side pass can show:

QuestionWhere the answer lives
What did the report say on the day we pulled it?The export, with the pull date written on it
What did the carrier pay?The statement
Which policies changed between those two dates? The gap list, one owner per line
Which figure is cash? The deposit and the statement total
Which figure is accrual? The earned-commission record, labeled as accrual
Who may be paid?Only lines matched and approved, from the reconciled amount

Exact policy-number matches can move forward. Anything fuzzier stays in human review. A correction to an extracted amount does not silently accept the match.

Suppose the Epic report on the 8th says 22,400 dollars of direct-bill commission and the statement on the 11th pays 21,150. The 1,250 dollar gap is not "the system is wrong" until you list the policies that moved in between. Maybe 900 dollars is a cancellation the carrier processed on the 10th, and 350 dollars is a rate the statement paid below the schedule. Those are two different open items. One may clear when you accept the cancellation. The other is a phone call. Netting them into one disappointment hides the call.

A short way to stop the argument

  • Write the as-of date on the management-system export and on the statement.
  • Say whether each total is cash or accrual.
  • List policies present on only one side. The missing-policy check is that list, started from the book.
  • List policies on both sides where the commission differs.
  • Separate "changed after the export" from "paid at the wrong rate."
  • Do not pay from the report. Pay from the reconciled statement lines a person approved.
  • Do not plan the close around a sync you do not have.

Bring the export and one carrier statement to a guided pilot. The point is to see the gap on your own files. You review the matches. You approve the batch. No payout file is produced before that, and no management system is synced in the process.

Put one export next to one statement

Bring a carrier statement and the management-system export for the same month. A guided pilot works those two files side by side. It does not sync EZLynx, Applied Epic, or HawkSoft.
